Digital Discovery Group (ABN 18 588 788 695) values and respects the privacy of the people we deal with. We comply with the Privacy Act 1988 (Cth) and applicable privacy laws in Sydney, NSW.
What is personal information?
Any information or opinion — whether recorded or not — about an identified or reasonably identifiable individual. That includes your name, contact details, or anything that directly or indirectly points back to you.
What we collect

- Other relevant details you choose to share
You don’t have to provide any of it. Where possible, anonymous interaction is available — but without information we may not be able to deliver services.
How we collect it
Directly — through calls, meetings, forms, surveys, event registrations, mailing-list sign-ups and job applications. Automatically — via tools like Google Analytics, Hotjar and HubSpot CRM when you use our website or services.
Website assessment tools
When you run the AI Search Readiness Assessment, we check the public website address you submit and keep the assessment securely for seven days so reports can be generated. We record a one-way fingerprint made from the connecting IP address to operate usage limits and review tool activity; we do not store the reusable IP address in Axion.
If you request an Advanced Report, we store your name, email address, submitted website, consent record, report-delivery history and a private PDF copy in Axion as a tools lead. We use those details to email the private report link, record whether it was downloaded and let authorised Digital Discovery Group staff retrieve the stored copy. The public assessment data and emailed link expire after seven days; the private Axion copy is retained only while reasonably needed for the lead and report record, or until an applicable deletion request is completed. Requesting the Advanced Report also starts our newsletter double opt-in process, and the newsletter subscription is not active until you confirm it from the separate email.
Google Maps and Places
Some Affiliate forms use Google Maps features to show business or address suggestions. Search text and related technical request data are sent to Google so it can return those suggestions. Google processes that information under the Google Privacy Policy, and the feature is subject to the Google Maps/Google Earth Additional Terms of Service.
In the Affiliate My clients business picker, Google business content is shown temporarily and we retain only the confirmed Google Place ID from that content. The Affiliate provides the business label, postcode and client contact details after recording when and how the person gave express permission to share them. If the business is not found, the Affiliate enters its name and address manually; that manual entry does not reserve the business across other Affiliates. Where another form offers Google-assisted address entry, we store the address the person chooses to submit with that form.

Who we share it with
Third-party service providers (our IT, marketing, and professional-services partners), some of whom may be based overseas. We take reasonable steps to ensure they handle your data to equivalent standards.
How we protect it
Physical security, access controls, antivirus, firewalls, restricted staff access. We retain personal information only as long as needed to serve you — or to meet legal and tax obligations.
Access, correction, and complaints
